Scope of This Policy

This policy explains how Pronounced Keeping, LLC (“Pronounced Keeping,” “we,” “us,” or “our”) handles information collected through pronouncedkeeping.com, the Pronounced Keeping Workspace, and related online services we operate.

A client engagement letter, tax disclosure consent, or another written agreement may provide additional terms for a particular service. Those documents remain in effect and control if they conflict with this general policy.

Information We Collect

Depending on how you work with us, we may collect:

  • Contact and account information, such as your name, email address, telephone number, and sign-in details.
  • Client and service information, including your requested services, deadlines, work status, notes, preferences, and authorized workspace users.
  • Messages and support requests exchanged through the workspace.
  • Billing information, such as invoices, balances, payment status, and transaction references. Pronounced Keeping does not receive or store complete card or bank-account numbers entered in Stripe Checkout.
  • Tax, payroll, bookkeeping, and financial information that you provide for an engagement or authorize us to obtain from a connected service.
  • Technical information used to operate and protect the service, including device, browser, IP address, authentication, and security-event data.

How We Use Information

We use information to:

  • Provide bookkeeping, accounting, tax, payroll, and business-support services.
  • Authenticate users and keep each client’s workspace information separated.
  • Organize client requests, work status, deadlines, guidance, documents, messages, invoices, and payments.
  • Communicate with you, respond to questions, and send service or security notices.
  • Maintain records, prevent fraud, troubleshoot problems, and improve the reliability and security of our services.
  • Comply with legal, professional, contractual, and regulatory obligations.

We do not sell personal information or use client tax information for targeted advertising.

Tax Return Information

Federal law limits a tax return preparer’s use and disclosure of tax return information. We use and disclose that information only as permitted by law, as needed to perform tax preparation or related services, or as authorized by a valid taxpayer consent.

This privacy policy is not a taxpayer consent under Internal Revenue Code Section 7216. When a separate consent is legally required, we will request it separately and identify the information, purpose, recipient, and duration covered by that consent.

When Information Is Shared

We may share information in limited circumstances:

  • With service providers that support hosting, authentication, secure storage, communications, accounting connections, and payment processing, subject to appropriate access and security controls.
  • With government agencies, regulators, courts, professional advisers, or other parties when required or permitted by law or necessary to protect legal rights and service security.
  • At your direction or with your authorization.
  • In connection with a business reorganization, only with protections appropriate to the information involved.

The workspace may link to separately operated services, including QuickBooks, Stripe, Sync, and PayRythm. Those services process information under their own privacy terms when you open or use them.

Mobile Privacy

We do not sell or share mobile numbers or messaging consent with third parties for marketing. Our communications providers process this information as needed to deliver messages. Providing a phone number alone does not enroll you in recurring text notifications.

Retention and Deletion

We keep information only as long as reasonably necessary for the engagement, client service, security, recordkeeping, dispute resolution, and applicable legal or professional obligations. Retention periods differ by record type. Closing a workspace account does not automatically delete records we must or reasonably need to retain.

When information is no longer required, we use appropriate methods to delete, de-identify, or securely dispose of it.

Security and Safe Communication

We maintain administrative, technical, and physical safeguards designed to protect client information. These include access controls, authentication, encryption where appropriate, tenant separation, monitoring, and service-provider review. No online service can guarantee absolute security.

Do not send Social Security numbers, employer identification numbers, complete bank information, tax returns, or other sensitive documents through workspace messages or ordinary email. Use the secure document link provided in the workspace.

Your Choices and Requests

You may ask us to review or correct your contact and workspace-account information, deactivate an account, or explain how we handle a particular record. Depending on applicable law, you may have additional privacy rights. We may need to verify your identity and may retain information when required by law or a professional duty.

The site uses essential cookies and similar technologies for authentication, security, preferences, and reliable operation. We do not use the workspace for cross-site behavioral advertising.

Children’s Information

Our services are not directed to children under 13. A parent, guardian, or client may provide information about a dependent when it is relevant to an authorized tax or accounting engagement.

Changes and Contact

We may update this policy as our services, providers, or legal obligations change. The effective date above shows when this version took effect. Material changes will be communicated through the website, workspace, or another appropriate channel.

Questions or privacy requests may be sent to assist@pronouncedkeeping.com.
